What will happen to my original documents after they are scanned?
Upon completion of each project you will have time to review your information via CD or online WebVault portal. You then have the flexibility of deciding from the following options:

1. The documents can be shredded and recycled at our location. This option requires your written authorization and releases CWT Imaging from all further responsibility and liability. A certificate of destruction will be provided to you from the shredding company and you will be billed directly from the shredding company.

2. You may choose to have the documents returned to you. The documents will be in their original file folders, but will be disassembled because of the scanner ready process all staples and other fasteners will have been removed for the scanning process.

3. Less sensitive documents may be disposed of by recycling for a nominal fee. Similarly, this option requires your written authorization and releases CWT Imaging from all further responsibility and liability. The disposal fees (with no additional markup) will be paid and passed on to you through our invoice.

What can I do to reduce my cost?
1. Know your document retention requirements for your specific business. There is no need to process documents that exceed the retention date. If you are not sure consult your Accountant, Lawyer or the IRS regarding related laws and regulations.

2. Review your files to ensure that only necessary documents are to be processed.

3. Do your own document preparation. Get your documents "scan ready" yourself. "Scan ready" means that all staples and other fasteners have been removed from the file documents and the pages are separated without excessive damaged, wrinkled, or torn edges. The pages must be face up and facing the same way. If the pages are of odd or mixed sizes (receipts post it notes, etc.), extra charges may apply for special handling (flatbed scanning, taping to scan).
